“Past due”: what customers see and how to fix it

Why online booking switches off when a payment fails, what your customers see, and how to turn it back on.

If a subscription payment fails, your account goes to past due and online booking stops. Your data is safe and nothing is deleted — but customers cannot book until the payment goes through. Here is exactly what happens and how to clear it.

What “past due” means

BookerFlow takes bookings while your subscription is active or still in its trial. Any other state — past due, cancelled, unpaid — pauses online booking.

What stays working while you are past due:

  • You can still sign in and use the whole dashboard.
  • Every existing appointment stays exactly where it is.
  • Your customers, services, staff, and hours are all untouched.
  • You can still book customers in yourself from the dashboard.

What stops:

  • Customers cannot make new bookings on your public page.

What your customers see

Your booking page stays online — your name, branding, and contact details are all still there. In place of the times, customers see:

Online booking unavailable

Online booking is temporarily unavailable. Please call [your phone number] to book by phone.

Your phone number appears there as a tappable link if you have one saved on Settings → Profile. If you have not, the message just says to contact the business — so a saved phone number is worth having for exactly this moment.

Nothing tells customers it is a billing problem

The message deliberately says nothing about payments. Customers see a business taking bookings by phone, not a billing failure.

How to fix it

  1. Step 1: Open Billing

    In the dashboard menu, under Account, choose Billing.

  2. Step 2: Update your payment method

    Use the button on the past-due banner. It opens our payment provider's secure page — BookerFlow never sees or stores your full card number.

  3. Step 3: Enter a working card and confirm

    If the old card simply expired, adding the new expiry and security code is usually enough. Otherwise use a different card.

  4. Step 4: Wait for the payment to be retried

    The outstanding invoice is charged to the new card. This usually completes within a minute or two, though a bank may take longer.

  5. Step 5: Check booking is back on

    Reload the Billing page — the banner should be gone. Then open View booking page and confirm times are showing again.

If the banner is still there after a few minutes

Reload the page once — the status updates when your bank confirms, which is not always instant. If it persists past ten minutes or so, send us the date the payment failed and the last four digits of the card you added, and we will look at it from our side.

Why payments fail

In rough order of how often we see them:

  • The card expired. Easily the most common, and easily missed — a replacement card arrives, and the subscription still has the old one.
  • Insufficient funds on the day the payment was attempted.
  • The bank blocked it. Recurring charges sometimes trip fraud rules, particularly on a new card. Approving it with your bank and retrying usually clears it.
  • The card was cancelled or replaced after being lost or reissued.

Keeping business running meanwhile

You are not shut down while you sort the payment out. From Appointments → New appointment you can book customers in yourself, exactly as you would for a phone booking, and they receive their confirmation as usual.

If your phone number is not on Settings → Profile, add it now — it is what appears on your booking page while online booking is paused.

Once payment succeeds, everything returns to normal immediately. There is nothing to re-enable and no settings to restore. If online booking is still not working after the payment clears, work through Why a time slot isn't showing to customers — at that point it is a different problem wearing the same costume.
