Why a time slot isn't showing to customers

The seven things that hide a time slot, in the order to check them.

A customer says your booking page shows nothing available, but your calendar looks wide open. This is the most common question we get, and it is nearly always one of seven things. Work down the list in order — the early checks are the usual culprits and take seconds.

How a time slot gets offered

Before the list, it helps to know what BookerFlow is actually doing. For a slot to appear to a customer, all of the following must be true:

  • Your business is taking bookings at all.
  • The day is inside your opening hours.
  • There is a run of free time long enough for the service plus any add-ons, plus your gap between appointments.
  • Someone who can perform that service is working then.
  • The slot is far enough in the future to satisfy your minimum notice.
  • The date is inside how far ahead you allow bookings.

Miss any one of those and the time quietly disappears. Nothing is broken — a rule is doing its job.

The seven checks, in order

  1. Step 1: Is your subscription in good standing?

    If a payment has failed, online booking switches off entirely and customers see “Online booking is temporarily unavailable.” Open Billing — if it shows past due, that is your answer. See “Past due”: what customers see and how to fix it.

  2. Step 2: Is online booking switched on?

    Settings → Booking, the first toggle. If it is off, your page invites people to call instead. See Booking rules: notice, cancellation, and how far ahead.

  3. Step 3: Is minimum notice hiding the near days?

    This is the single most frequent cause. A two-day minimum notice empties today and tomorrow completely. A customer looking at this week concludes you are fully booked. Settings → Booking → minimum notice.

  4. Step 4: Are you open that day, with hours saved?

    Open Hours & time off. A day with no hours saved is closed, even if you meant to be open. Check the day is not marked closed and that the times are the right way round.

  5. Step 5: Is a holiday or time off covering it?

    Still on Hours & time off, check the time off entries below your weekly hours. A closure added months ago for a holiday will silently blank out the day when it arrives.

  6. Step 6: Is anyone available who can do that service?

    A service is only bookable when a staff member who performs it is working. If the only person who does that treatment is off, that service shows no times while everything else looks normal. Check Staff — inactive team members offer no availability.

    If customers can choose staff is on, they see only the availability of the person they picked. Ask which name they selected.

  7. Step 7: Does the service actually fit?

    A 90-minute service needs 90 minutes of clear time plus your gap between appointments. Two appointments either side of a 100-minute hole will not accept it. Add-ons make this worse — they extend the appointment, so a service that fits on its own may not fit once a customer adds to it.

Times look wrong rather than missing?

If slots appear but at the wrong hours, that is a timezone problem, not an availability one. Check the timezone on Settings → Profile matches where you actually are. It shifts every time in the system at once, which is the tell.

Test it the way a customer sees it

Do not judge from the dashboard — the dashboard shows your real calendar, not the filtered view a customer gets. Instead:

  1. Step 1: Open your booking page

    Use View booking page at the top of the dashboard, which opens the public page in a new tab.

  2. Step 2: Pick the exact service the customer picked

    Availability is per service, because durations differ. Choosing a different service tests the wrong thing.

  3. Step 3: Pick the same staff member, if you offer the choice

    Otherwise you are looking at everyone's combined availability, not theirs.

  4. Step 4: Change one setting at a time

    Adjust one rule, reload the booking page, look again. Changing three at once tells you nothing about which one mattered.
