Booking rules: notice, cancellation, and how far ahead
Every option on the Booking tab in Settings, what each one does to your booking page, and what to pick.
The Booking tab in Settings is where you set the rules your booking page follows: how much warning you need before an appointment, how late someone can cancel, how far into the future they can book, and how much breathing room you want between jobs. Every one of these settings changes which times customers can actually see.
Where to find these settings
Step 1: Open Settings
In the dashboard menu, under Account, choose Settings.
Step 2: Choose the Booking tab
It is the second of the four tabs across the top, described as “Customer booking rules”.
Step 3: Change what you need, then save
Nothing takes effect until you save. If you try to leave with unsaved changes, BookerFlow will warn you.

1. Online booking on or off
The master switch. Turn it off and your booking page stays online but stops taking bookings — customers see a note asking them to call you instead, with your phone number if you have one saved on the Profile tab.
Use it when you are fully booked for a season, closed for renovations, or still setting things up. Your existing appointments are untouched either way.
Booking can also switch off by itself
2. Minimum notice
How far in advance someone has to book. Set it to two hours and a customer at 9:00am cannot take the 10:00am slot — the earliest they will be offered is 11:00am. It protects you from someone booking a colour service while you are mid-way through another one.

This is the most common cause of “no times showing”
3. Cancellation window
How close to the appointment a customer may still cancel or reschedule themselves, using the link in their confirmation email. Past that point the link stops offering changes and they have to contact you — which means late cancellations come through you, not silently.

You can always cancel or move an appointment yourself from the dashboard, whatever this is set to. The window only limits what customers can do on their own.
4. How far ahead customers can book
The far end of your booking calendar. With this set to one month, a customer today sees the next month and nothing beyond it.

Longer is not automatically better
5. Gap between appointments
A break automatically added after every appointment, for cleaning down, writing notes, or simply catching your breath. Customers never see it — it is applied behind the scenes when working out which start times to offer.

How the gap changes your day
The gap applies per appointment, so it compounds. With a 15-minute gap and 45-minute services, each customer occupies an hour of your day. Across eight bookings that is two hours of gap. If your calendar looks emptier than you expect, this is usually why.
Staff choice and prices
Two toggles that change what the customer sees while booking.

After changing anything here, open your booking page with the View booking page button at the top of the dashboard and look at it as a customer would. It is the fastest way to confirm a change did what you expected.
