What customers get, what your team gets, how the manage link works, and which of it you control.
BookerFlow sends messages on your behalf — to your customers, and to your team. This page is the whole picture, so you know what lands in whose inbox and when.
What your customers receive
| Setting | What it does |

| Booking confirmation (email) | Always sent, on every booking, whatever your settings. It carries the date, time, service, your address, and their manage link. |
| Booking confirmation (text) | Only if texting is active on your account, your plan includes it, and the customer opted in. |
| Reminder (text) | Ahead of the appointment, under the same three conditions. This is the message that prevents no-shows. |
| Change or cancellation notice | When an appointment is rescheduled or cancelled, so the customer is never left holding an out-of-date time. |
Email always works; texts have conditions
What you and your team receive
Team alerts are email only, and you control who gets them on the Notifications tab — assigned staff, the owner, both, or neither. Full detail in Who gets emailed when a booking comes in.
These are a convenience, not the system of record. The dashboard always knows what is booked; the emails are just a nudge.
The manage link
Every customer confirmation contains a private link to their own appointment. From it they can reschedule or cancel without calling you — within the cancellation window you set.
The link is unique to that appointment and should not be shared. Once the cancellation window has passed it stops offering changes, so late cancellations come through you rather than happening silently. See Booking rules: notice, cancellation, and how far ahead.
