Who gets emailed when a booking comes in

The two team-alert settings, which addresses receive them, and how to pick a setup that does not bury you.

The Notifications tab decides who on your team gets an email when a booking comes in. It does not affect what your customers receive — those go out regardless.

What is always sent

Customers always get a confirmation email when they book. There is no setting to turn that off, because a booking the customer cannot see or verify is worse than no booking. Their confirmation also carries the manage link they use to reschedule or cancel.

This tab is about your team, not your customers

For what customers receive by text — reminders and confirmations — see the Appointment texts tab instead.

The two settings you control

  1. Step 1: Open Settings, then the Notifications tab

It is the third tab, described as “Team booking alerts”.

  2. Step 2: Set who gets alerted, then save

Both settings are independent — you can have either, both, or neither.

The four Settings tabs: Profile, Booking, Notifications, and Appointment texts.
Notifications is the third of the four Settings tabs.

Email assigned staff when a new appointment is bookedEach team member is emailed about bookings assigned to them — not about everyone else's. Turn it off to stop new-booking emails to your staff addresses entirely. On
Email the business owner tooThe owner account is alerted about every new appointment, whoever it is assigned to. This works even when staff alerts above are off, so the owner can be the only person notified.Off

Which addresses receive alerts

Staff alerts go to the email address saved on each team member under Staff. The tab shows you a summary of exactly who is currently set up to receive them, so you can see at a glance whether anyone is missing an address.

A team member with no email saved cannot be alerted. If someone says they are not getting booking emails, check their record on the Staff page first — a missing address is far more common than a delivery problem.

SettingWhat it does
Solo — just youStaff alerts on. You are the assigned staff member, so you get everything. No need to also enable the owner alert.
Small team, hands-off ownerStaff alerts on, owner alert off. Each person manages their own column and you are not buried in notifications.
Front desk runs the diaryStaff alerts off, owner alert on. One inbox sees every booking and the team works from the dashboard instead of email.
Owner wants oversightBoth on. Staff see their own bookings and you see all of them.

Email volume grows faster than you expect

At a few bookings a day, alerts are useful. At thirty, they are noise. If you find yourself deleting them unread, turn them off — the dashboard is the source of truth and Today shows the same information without filling an inbox.
