Who can see what

Owner versus staff access, what customers can and cannot see, and how to keep your customers' data safe.

Three different groups touch your BookerFlow account, and they see very different things. Knowing which is which matters, because your customers' personal data sits behind it.

Owner and staff

SettingWhat it does
OwnerFull access — services, staff, hours, settings, billing, and every appointment. This is the account you signed up with.
Staff memberA person who can be booked. Their record carries a name, email, photo, bio, the services they provide, and their hours.

Adding a staff record makes someone bookable. Billing and account settings stay with the owner. Adding and managing team members is covered in Add your team.

Do not share the owner login

A shared password means you cannot tell who changed what, and everyone who has it can see your billing and every customer record. Give people their own staff record instead.

What customers can see

Customers never sign in. They see only:

  • Your public booking page — business name, branding, services, prices if you show them, and the team members you let them choose from.
  • Their own appointment, through the private link in their confirmation. See The manage link customers get.

They cannot see your other customers, your diary, your takings, or anything about another business. Each business's data is kept strictly separate.

Good practice

  • Keep the owner login to the people who genuinely need billing access.
  • Deactivate staff when they leave rather than leaving records live.
  • Sign out on shared or front-desk computers.
  • Treat exported spreadsheets as customer data — store them carefully, delete them when done.
