The manage link customers get

How customers reschedule or cancel themselves, when the link stops allowing changes, and what to do if it is lost.

Every confirmation email contains a private link to that one appointment. It is how a customer reschedules or cancels without ringing you — and it is the reason a booking system saves you time rather than just moving your admin online.

What the manage link is

A unique, unguessable address for a single appointment. Customers do not need an account or a password — holding the link is what proves it is theirs, which is why it should not be forwarded or posted anywhere public.

It is tied to that appointment alone. It gives no access to your dashboard, your other customers, or anything else about your business.

What customers can do with it

  • See the appointment: date, time, service, and where to come.
  • Reschedule to another available time.
  • Cancel.

A reschedule keeps their details, notes, and any add-ons — they are choosing a new time, not rebooking from scratch. Their new time obeys the same rules as any other booking, so it can only land somewhere genuinely available.

Encourage customers to use it

A cancellation you receive at 9pm through the link is a slot you can refill. A no-show is not. Pointing regulars at the link in their email is worth doing.

When it stops allowing changes

Once your cancellation window has passed, the link stops offering changes and tells the customer to contact you instead. If your window is one day, a customer with an appointment tomorrow morning can no longer move it themselves this evening.

That is deliberate: late changes come through you, so you find out rather than discovering an empty chair. You can still reschedule or cancel from the dashboard at any point, whatever the window says.

If a customer has lost it

Ask them to search their email for your business name — the confirmation is the one carrying the link, and it is usually still there.

If they genuinely cannot find it, just make the change for them from Appointments. Find the booking, reschedule or cancel it, and they will receive an updated confirmation.
