Book an appointment for a customer
Taking phone bookings and walk-ins from the dashboard, and why your public booking rules do not restrict you.
Not every booking arrives through your booking page. Phone calls, walk-ins, and regulars who always text you still need to be in the diary — otherwise your calendar lies to you and someone gets double-booked.
When to use it
- A customer rings up and you take the booking there and then.
- Someone walks in and you fit them in.
- A regular messages you directly.
- You are rebuilding your diary after being away from the system.
- Online booking is paused and you are taking bookings by phone.
Enter it while the customer is still in front of you
Booking someone in
Step 1: Choose New appointment
The button is on Today and on Appointments.
Step 2: Pick the service and team member
Step 3: Choose the date and time
Step 4: Enter the customer's details
Name, email, and phone. The email is what their confirmation goes to, so it is worth getting right on the call rather than guessing.
Step 5: Save
The appointment appears in your diary straight away and the customer receives their confirmation email, including the link they can use to reschedule or cancel themselves.

| Team member | Who is doing the work. Their diary is the one that fills. |
| Date and time | When it starts. |
| Customer name | Shown throughout your dashboard. |
| Customer email | Where the confirmation and manage link are sent. |
| Customer phone | Used for reminders by text, where texting is active and the customer has agreed. |
Your booking rules do not apply to you
Minimum notice, the cancellation window, and how far ahead customers may book all govern your booking page. Booking from the dashboard is you exercising judgement, so you can put an appointment in ten minutes from now, or six months out, whatever the public rules say.
Double-booking is still prevented — that is a real conflict, not a policy. If a time is refused, someone is genuinely busy then.
